Privacy Policy

This page describes the categories of information handled by 4g3ntic and the basic way that information is used to operate the service.

1. Scope of This Policy

This Privacy Policy explains how 4g3ntic handles information when you visit the website, create an account, access the CRM, operate an organizational workspace, or use agent-oriented features and APIs. It applies to information we process to provide, secure, maintain, and improve the service.

The policy does not replace any separate enterprise data processing agreement, order form, or written contract that may apply to a customer relationship. Where a separate agreement exists, that agreement may govern more specific privacy and data handling commitments.

2. Categories of Information We Handle

4g3ntic may process account information, organization details, CRM records, comments, activity history, operational metadata, usage signals, authentication-related data, and support communications needed to run the product.

Depending on how you use the service, this information may include names, email addresses, company names, record notes, follow-up comments, ownership assignments, timestamps, organization identifiers, and agent-submitted context entered into the platform by your organization.

3. Sources of Information

We may receive information directly from you, from your organization’s administrators or authorized users, from authentication and infrastructure providers, from support communications, and from automated interactions with the service such as logs, request metadata, or product usage events.

We may also process information that your organization instructs agents, automations, or integrated workflows to submit into the platform.

4. How We Use Information

We use information to authenticate users, partition organizational workspaces, store CRM data, support agent workflows, improve reliability, maintain service security, respond to support needs, monitor system health, investigate abuse, and deliver the core features of the service.

We may also use information to develop and improve product functionality, user experience, safety mechanisms, and administrative tooling, subject to applicable law and contractual commitments.

5. Organizational Workspaces and Customer Role

When an organization uses 4g3ntic to manage CRM records, that organization controls the business data its users and agents place into the product. Customers are responsible for ensuring they have a lawful basis to collect and process the contact and company information they store inside the platform.

If you submit information into the service on behalf of an organization, you represent that you are authorized to do so and that your organization’s internal permissions, notices, and workflows cover that use.

6. Sharing and Service Providers

The product may rely on infrastructure and service providers such as hosting, authentication, database, logging, communications, and AI vendors in order to deliver functionality. We may share information with those providers only as reasonably needed to operate the service and subject to appropriate contractual or operational controls.

We may also disclose information when required by law, legal process, regulation, or to protect the rights, safety, integrity, customers, systems, or operations of 4g3ntic and others.

7. AI and Agent Workflows

Some 4g3ntic features are designed for agent-assisted or AI-assisted workflows. When you use those features, the information necessary to produce the requested output may be processed through the relevant feature path or supporting provider in order to create, enrich, summarize, or update CRM records.

You are responsible for determining whether your intended use of AI or agent workflows is appropriate for the type of data involved and for reviewing the outputs generated by those workflows before relying on them operationally.

8. Retention

We retain information for as long as reasonably necessary to provide the service, maintain business and security records, comply with law, resolve disputes, and enforce agreements. Retention periods may vary depending on the nature of the data, customer instructions, legal requirements, and operational needs.

Account and workspace data may persist until deleted by the customer, removed through administrative action, or deleted in connection with service termination, backup expiration, or internal lifecycle processes.

9. Security

We use reasonable administrative, technical, and organizational measures designed to protect information against unauthorized access, misuse, disclosure, alteration, and destruction. No service, however, can guarantee absolute security.

Customers remain responsible for credential hygiene, access reviews, internal role controls, and the safe operation of users and agents within their organization.

10. International Processing

Depending on the infrastructure and providers used to operate the service, information may be processed in jurisdictions other than the one where the customer or end user is located. By using the service, you acknowledge that information may be transferred to and processed in those locations, subject to applicable law and contractual controls.

11. Your Choices and Rights

Depending on your jurisdiction and relationship to the data, you may have rights relating to access, correction, deletion, objection, restriction, or portability. In many cases, requests involving organization-controlled CRM data should be directed to the relevant customer organization first, because that organization determines how the data is used inside the workspace.

We may require verification before acting on a request and may retain certain information where legally permitted or required.

12. Children’s Privacy

4g3ntic is intended for business and professional use and is not directed to children. We do not knowingly collect personal information from children in contexts where doing so would be prohibited by law.

13. Policy Updates

We may update this Privacy Policy from time to time to reflect product changes, infrastructure changes, legal requirements, or operational practices. When we do, we will revise the effective date posted on this page.

Your continued use of the service after an updated policy becomes effective indicates acknowledgment of the revised policy.
